Job Title: Receptionist
Reports to: General Manager

Main Duties
Handle incoming and outgoing telephone calls for UPO Real Estate and handle clerical and administrative duties within the reception area.
Major Responsibilities/Duties
- Handle incoming and outgoing calls.
- Record all calls made outside and ensure the callers sign for them.
- Maintain a caller log for all incoming and outgoing calls.
- Maintain the general filing system and file all correspondences.
- Assist in the planning and preparation of meetings, conferences and conference telephone calls.
- Monitor the time attendance system.
- Receive and welcome visitors to UPO Real Estate’s premises and facilities.
- Greet, assist and/or direct clients, visitors to the appropriate person to speak with.
- Take messages for staff that are not available.
- Coordinate and maintain a telephone directory for all communications.
- Vet calls and identify those that are authorized, non-authorized official or otherwise.
- Perform other duties as assigned by the Administration Officer.
Work Experience
1 year experience directly related to front office operations
Education
Minimum of High School level of formal schooling. Certificate in Telephone Operation or Front Office Operation/ Reception course.
Skills, Capabilities and Languages
- Interpersonal skills.
- Organization and planning skills.
- Communication skills.
- Computer literacy: MS windows applications (word processing and Excel, spreadsheets…).
- Fluency in Arabic and English, written and oral.
Training
Training courses in office telephone handling, communication and customer service, and any other related courses.
